Parts Used vs Parts Billed: Closing the Gap

Used-but-not-billed is a donation. Billed-but-not-used is a future callback. Both show up when scans and invoices share a job number.

One job number or no report

If dispatch, the scanner, and the invoice use three different identifiers, you will spend Friday playing detective. Standardize the number. Print it. Text it. Type it.

This is the least exciting step and the one that unlocks every other metric.

Build two exception lists, not a novel

List A: scans with no matching invoice line. List B: invoice lines with no scan. Ignore the clean jobs. Manage the exceptions. Twenty minutes. Same time each week.

Export from FleetStock and from your FSM. A simple sheet is enough. You do not need a BI team.

Classify before you accuse

List A is often goodwill, warranty, or a forgotten charge. List B is often a billed kit that was not exploded, or a part pulled from a stash. Classification keeps the meeting adult.

Track goodwill as its own bucket. If it grows, you have a discount culture, not a scanning problem.

Close last week before you open this week

An exception that is three weeks old is archaeology. Bill it, write it off, or return it, but close it. Aging exceptions train the team that the report is decorative.

The first month will feel messy. The third month should be short. If it is not, the scanner is too hard or nobody owns the meeting.

Show the recovered dollars

When list A turns into invoices, say the number out loud. “We billed $1,140 in parts we used to miss.” That sentence funds the habit and the software.

Owners who hide the win get compliance. Owners who show the win get a crew that wants the next win.
