Nightly Restock Workflow for HVAC, Plumbing, and Appliance Vans
Morning chaos is usually last night’s restock in a costume. If the vans are wrong at 7 a.m., the night process failed — not the techs.
Close the board, then fill the holes
When the last truck is in, run the below-min report. That is the night’s work. Do not restock from memory of who “had a busy day.” Busy days lie. Mins plus scans do not.
If a tech is still out, restock the others. Do not hold the whole wave for one late van.
One tote, one van, one scan
Mixed totes are how Truck 5 gets Truck 7’s boards. Pick complete, scan complete, close the door, next van. Faster than it sounds once the warehouse is labeled.
Play music if you want. Do not play heroics. Heroics skip scans.
Leave a note when you cannot fill
If the warehouse is also zero, the van stays below min and dispatch must see it. A sticky note that says “we’re out” in the warehouse is not visible to dispatch. The software is.
Create or confirm the PO the same night. Tomorrow’s first emergency buy should not be a surprise.
Mixed trades, same clock
HVAC capacitors, appliance pumps, plumbing valves — same restock clock, different zones. Do not run three unofficial night shifts. One person, one list, one building.
If the building is too big, split by zone but keep the same report. Two philosophies will fight.
The 7 a.m. test
Dispatch opens Truck 101. The parts they need for the first no-cool are there, or the system already said they are not. If dispatch has to walk to the lot and open doors, nightly restock is theater.

We do not have a night person.
Then the last tech in restocks their own van, and the owner restocks the rest in the morning before dispatch. Name the plan. “We’ll see” is not a plan.
What about parts that arrived after hours?
Receive them in the morning before you pick. Do not pick from unreceived boxes.
Can we restock every other night?
Only if van mins are fat enough. Most service shops cannot. Daily layer wants a daily top-off.
