Two systems, one item list

The part number in FleetStock should be the item name or SKU in QuickBooks. When those drift, invoices and inventory become two companies. Export the item file when you add a family of parts, not every hour.

You do not need live bidirectional sync to be a grown-up shop. You need matching names and a weekly rhythm.

Job parts go to invoices, not to a journal soup

Export parts used by job number. The office applies them on the invoice in QuickBooks or in the FSM that already posts to QuickBooks. Do not dump van adjustments into a miscellaneous COGS account and call it integration.

The point is the ticket, not a prettier trial balance.

Do not let QuickBooks own van qty

QuickBooks inventory locations are clumsy for five trucks and a nightly restock. If you force it, you will fight the tool instead of restocking vans. Keep quantity in the parts system. Keep dollars in QuickBooks.

Accountants who insist otherwise have usually not stood in a van. Invite them once.

POs and bills

Enter the vendor bill in QuickBooks from the packing slip. Receive the parts in FleetStock into the warehouse. Same PO number in the memo if you can. That is enough to answer “did we get what we paid for?”

A full three-way match is lovely in a factory. A service shop can live on a shared PO number and a receiving scan.

Month-end is a reconciliation, not a surprise

Parts billed should roughly follow parts used plus goodwill plus warranty. If COGS and scans tell different stories, you have a week of exceptions to close — not a reason to turn off scanning.
