Billing Every Appliance Part That Left the Van

Appliance margins die in the gap between the kitchen floor and the invoice. Closing that gap is a scan habit, not a new price list.

The tech should not reconstruct the job from memory at 7 p.m. The job’s parts list should already exist. The office bills that list, plus labor, plus any diagnostic.

If your FSM cannot import a parts CSV, paste from the FleetStock job export. Imperfect integration still beats a blank parts section.

Declined repairs still have parts sometimes

You replaced a cheap valve to confirm a diagnosis and they declined the board. That valve is billable or it is a marketing decision. Either way it must leave the van count. Hidden write-offs destroy min stock.

Create a reason: billed, goodwill, warranty. Goodwill should be rare and visible. If every tech is “being nice” with $40 valves, you have a pricing problem.

Price list lives on the part

Do not let each tech invent a board price. Cost and sell sit on the master list. Update when the vendor changes. A photo plus a price means the office can bill without a Slack argument.

If you use flat-rate books, still keep cost on the part so you know whether the book is lying this year.

Jobs with scans and no invoice parts. Invoices with parts and no scans. Those two columns are your coaching agenda. Ten minutes, same time every week.

The shops that skip the meeting slowly return to folklore. The software cannot want it more than the owner.

Show techs the win

When scan compliance goes up and supply-house runs go down, say it out loud. Techs cooperate with systems that make Saturday easier. They ignore systems that only exist to catch them.
